How the check works

The check turns your invoice total, credits and usage included, into a 12-month equivalent. A monthly total is multiplied by 12; a yearly total is used as it is and also shown per month. That is a cost comparison, not your payment schedule.

If you compare an option, the difference before switching costs is your 12-month equivalent minus the option's. Switching costs are migration hours times an hourly value, plus implementation, overlap and other one-off costs. The simple payback is the switching costs divided by the monthly difference, and it is only shown when every cost is known and the option costs less.

The next step comes from a fixed order: missing or mismatched price details first, then a deadline that has passed, then the comparison, then unused licences, then an unknown notice deadline. There is no score, and staying is never called the best choice just because no alternative was entered.

Without the €180 overlap, the switching costs are €400 and the payback is about 6.7 months. Comparing subscription prices alone can make switching look better than it is.

What to check before an AI subscription renews

Credits and usage

AI tools can bill credits or usage on top of the plan. Add the usage charges from your last invoices to the total you enter, and ask what happens when the included credits run out: a pause, an automatic top-up or a higher tier.

Project and code export

Check what you can take with you: code, project files, prompts, data and deployment settings. An export of your code is not a complete migration. Hosting, databases, secrets, integrations and the tool's own AI features may not come along, so estimate the hours to rebuild them.

Paid AI add-ons

AI features can be sold as add-ons, sometimes per user. Look for them on your invoice and ask who still uses them before the renewal adds another year.

Seats and roles

Compare the licences on your invoice with the people who used the tool last month. Ask about the minimum number of licences and from which date a reduction applies.

  • It does not work out a notice deadline from a notice period. Use the date your contract states, or ask your supplier.

Questions about the check

Why does the check ask for my invoice total?

A price per seat may not be the whole bill. Minimum quantities, included seats, tiers, credits and paid add-ons can change the total. Your invoice already includes them, so the check uses it and never multiplies it by your seats.

What happens when I don't know a cost?

Leave it on Unknown. The check then shows the difference before switching costs and leaves the payback open. Unknown is never counted as zero.

Does the reminder contain my figures?

No. The calendar file holds one all-day event on the date you choose, with a title you confirm. It imports as a standard .ics event; whether you get an alert depends on your calendar app.

Is anything sent to my supplier?

No. The check copies the questions to your clipboard. You send them from your own email.

Where do the product questions come from?

From our published reviews. A quoted detail shows the date the review gives for it, or says that no date is stated. Prices from the reviews are not quoted: a list price appears only as a reference line while it is at most 30 days old, and after that the check works with your own figures only.
